Changing CDC Guidelines Requires Employer Flexibility

Stay In Compliance with The Latest CDC Guidelines with Ease

Even before the start of the pandemic, businesses across countless industries have struggled to find a way to keep up with workplace CDC guidelines to ensure a safe environment. From construction sites and manufacturing warehouses to smaller office spaces, many have turned to expensive, unreliable, timely, or disorganized systems that may leave room for error and even put the business or its employees at risk.

As we transition back into working in-person, it’s more important now than ever before to have real-time visibility of office or workplace activity, in order to keep up with:

  • Changing or unclear health mandates
  • Knowing who is vaccinated
  • Different guidelines at different locations
  • Property owner requests
  • When and how many people show up at the workplace outside of the organization

The variations can feel endless.

Most business software was developed by knowledgeable workers for knowledgeable workers. Safe Site Check In (SSCI) makes it easy for even non-technical users to operate our site management and safety application. It was developed in the U.S. using the agile, cloud, security, privacy, and open source technologies as an affordable solution that requires no training or software to set up.

SSCI lets business operations managers, health and safety officers, HR managers, or even front desk administrators set up check-in sites in minutes, then customize and adapt to change needed information as CDC guidelines such as vaccination status evolve. SSCI can handle any type of user while also presenting supplemental documents, training, and informational videos, down to an individual site level. Our back-end data repository makes it easy to validate everyone who was in your office, when they arrived, and for how long, including employees, subcontractors, delivery agents, and any and all visitors.

Get full visibility of your site’s visitors in real-time with Safe Site Check In

With the latest SSCI app release, you can create an active site and QR Code in under 60 seconds. Even better, you can customize the site check-in experience per site, if needed, to stay in compliance with the latest CDC guidelines. Here are several examples of how the app works in real-world situations—including a hot topic: how to adapt site check-in for the fully or partially vaccinated.

Example 1 – Visitor types across all your sites

An HR or business operations manager or has multiple office locations across multiple states with different visitor types, each requiring different check-in flows:

Visitor Type Required Contact Info Terms to Agree To Badge Information
Employee Name
Phone
Email
Employee#
6’ distancing
Wear a face mask
Welcome.
Have a safe day!
Subcontractor Name
Phone
Email
Address
Company from Pick List
Watch a Safety Training Video
6’ distancing
Wear a face mask
Welcome.
Have a safe day!
Delivery Name
Phone
Email
Company

Visit only drop off zones
6’ distancing
Wear a face mask
Proceed through Gate A for delivery.
Wait for on-site personnel before dropping off items.
Other Name
Phone
Email

Company
Host Contact Name
View and agree to Liability Waiver
6’ distancing
Wear a face mask
Welcome.
Wait for your Host to escort you.

Several sites do not have separate delivery locations, so they need to be set up to only ask the visitor to identify themselves as an employee, subcontractor, or other. Safe Site Check In makes it easy to apply these visitor flows down to the site level.

Example 2 – Vaccination status

There are several approaches to handle visitors and their vaccination status. One approach is to use visitor types for each variation that has different check-in flows:

Visitor Type Terms to Agree To Badge Information
Fully Vaccinated Confirm you are fully vaccinated Fully Vaccinated
Not Vaccinated 6’ distancing
Wear a face mask
Not Vaccinated
Visitor who has not been vaccinated but has scheduled an appointment to receive the first dose 6’ distancing
Wear a face mask
Not Vaccinated
Visitor who received second dose of the Pfizer or Moderna vaccine or single dose of a Johnson & Johnson vaccine less than two weeks ago 6’ distancing
Wear a face mask
Partially Vaccinated
Visitor who declines to answer if they have been vaccinated. Confirm that you decline to indicate your vaccination status
6’ distancing
Wear a face mask
Declined to Identify Vaccination Status

Incorporate Safe Site Check In into Your Visitor Check-In Flow

Benefits of this approach:

  • You can customize the entire check-in flow: what questions to ask, what terms to agree to, even badge information for your on-site personnel to view the vaccination status in real-time (to ensure visitors not fully vaccinated are wearing masks, etc.)
  • Visitor Event Reports will show everyone’s vaccination status connected to a SSCI check in records

Downside of this approach:

  • The app stores data on the visitor’s vaccination status, which may be considered to be personal health information in some rare cases. Check with your HR or employment attorney if you are concerned.

Example 3 – Vaccination behavioral terms

Another approach to checking in with “Vaccination Status” is the use of terms where the visitor “checks the box” to agree to certain behaviors. For example:

  • I will wear a face mask if I have not been fully vaccinated for over 2 weeks
  • I will obey 6-foot distancing protocol if I have not been fully vaccinated for over 2 weeks

The terms can also include an attached Vaccination Policy Terms document (pdf) that the user must view and agree to before being granted access to a workplace.

Benefits of this approach:

  • You can address behaviors around vaccination without any risk of storing personal health information.

Downside of this approach:

  • You can not customize other questions or Badges based on the visitor’s vaccination status, which may be requested by some local inspectors.

Safe Site Check In makes it easy to apply either approach — either one method for all office locations and job sites or different methods as needed for certain locales.
